Use the following steps to add alt text to an image. This guide uses PowerPoint, but the steps are the same in Microsoft Word.

  1. Insert your image. Right-click on it and select View Alt Text.

  2. An Alt Text panel will appear on the right. You can add alt text to the box in the panel.  If there is already text in the box, you can edit it (or keep it if it's accurate). You can also use Generate alt text for me provided that the output is accurate. If an image is only for decoration and has no relevance to the topic, select Mark as Decorative.screenshot from Microsoft Word showing the Alt Text pop-up where a user can type in alt text or have Word generate alt text automatically
  3. When finished, you can close the panel.  Changes will be saved automatically.
Keep in mind these best practices for adding alt text:
  • All images should have alternative text descriptions (or mark as decorative).
  • Alt text should be functional and provide an equivalent user experience.
  • Don't include text like "image of.." or "graphic representing...". This is redundant information since screen readers already identify the object as a graphic.
  • Complex images, like data charts and graphs, may be too difficult to describe succinctly in an alt tag. In these cases, please describe the graphic on the page as a caption, perhaps beneath the graphic.
